Connect TASBooks to essential software

Integrations

Connect TASBooks to your essential software

We offer a range of solutions that integrate TASBooks with third-party commercial software or in-house applications. Our solutions help businesses to streamline their operations and to realise efficiency savings. For peace of mind, each solution has safeguards in place to guarantee both data consistency and validity across multiple databases.

To help your business be as flexible as possible, our solutions can be automated or run as a manual step-by-step process. Data can be posted to and retrieved from the TASBooks database directly or it can be imported and exported with CSV files.

We have a number of ready-to-use solutions or we can develop a bespoke integration to meet your requirements.

HSBC Invoice Finance EDI

The HSBC Invoice Finance EDI module has been designed specifically for HSBC Invoice Finance clients and provides a range of benefits including:

  • Next Day Funding;
  • Labour Efficiencies; and
  • Expenditure Savings.

The creation of an automatic output facility in TAS means copies of invoice and/or credit note documents for HSBC are stored in an output file which is then sent electronically to HSBC via their Ledgerline™ software. It eliminates the need to print and post copies to HSBC.

Integration is carried out using a quick self-install routine which is loaded via the System Integration Manager (SIM). It provides secure password access for selected users.

The HSBC Invoice Finance EDI module includes a number of features including:

  • A Central Information File (CIF) for system defaults;
  • A Central Information Screen (CIS) to configure company information and HSBC details;
  • Maintain Customers View: Shows all customers set up as HSBC-factored customers codes and terms; and
  • An Extract Invoices and/or Credits facility is used to create the HSBC Invoice/Credit Notes output file. This can be filtered by invoice or date range

CSV Import

MultiTAS integrates seamlessly with TASBooks and lets users import data from a Comma-separated values (CSV) file into the TASBooks database directly. A CSV import eliminates both the double-entry of data and errors. A CSV import is efficient and uses a variety of measures to protect your TASBooks database.

Full Data Validation

Data validation ensures that we import data that is both clean and correct. It uses routines – called “validation rules” or “check routines” – that look for correctness, meaningfulness, and the security of the data before they are processed and imported into TASBooks.

Transaction Processing

Transaction processing protects the integrity of the TASBooks database. As the database is updated it randomly saves different versions of the database. They are miniature backups. If a transaction cannot be completed or a record cannot be updated, these backups are used to restore the database to ‘safe’ version.

Lock System

When you upload a CSV file, MultiTAS needs to use TASBooks as efficiently as possible. If users are logged in at the time of an import, TASBooks will ‘lock’ users out of the system temporarily to make the import run as quickly as possible. The Lock System function is automatic and begins when you select any of the batch Import/Update routines from the menu.

eTAS – eCommerce for TASBooks

eTAS is the leading eCommerce solution for TASBooks.

eTAS provides bi-directional communication between the TASBooks database and a variety of third-party eCommerce platforms.

There are two components to eTAS. There is a TASBooks component and an eCommerce component provided by Willows Consulting.

For TASBooks

eTAS is the TASBooks component. It connects to the TASBooks database and allows users to:

  • Export customer and product records to a Comma-separated values (CSV) file; and
  • Import Web Sales Orders (WSOs) from a CSV file. This emulates TAS 6.1.1

For eCommerce

ePlugin is the eCommerce component. It connects to a third-party eCommerce platform and allows users to:

  • Import customer and product records from a CSV file; and
  • Export WSOs to a CSV file.

eTAS can be installed locally or server-side. If you install eTAS on a server it must be the same server that hosts the TASBooks Pervasive Database. It must be run automatically in Windows Task Scheduler.

A File Transfer Protocol (FTP) folder is required for all automated export and import requests.

Platforms

eTAS works with the following eCommerce platforms:

  • Magento
  • OpenCart
  • PrestaShop
  • osCommerce
  • ZenCart
  • VirtueMart
  • HikaShop
  • WooCommerce

If your platform is not on the list we can develop it.

How It Works

eTAS Automated Export

You export the necessary Customer or Product Records from the TASBooks database. eTAS converts them to a CSV file. It will exclude any records that are flagged as “Inactive”.

FTP Folder

The exported CSV file is transferred automatically to a remote folder via FTP.

ePlugin Automated Import

Your ePlugin identifies either a new or revised file in the FTP folder and imports it to your eCommerce database. New records can be created and existing records can be revised, updated or deleted.
