MultiTAS is our software framework. It is theÂ most advanced suite of add-ons and tools available for TASBooks. It connects seamlessly to TASBooks and can help businesses reduce costs and become more efficient. Common tasks – such as processing customer and supplier records and ledger reconciliation – are easier and quicker thanks to our automated routines and workflows.

Our software is designed for use by every business. Not every business is the same however. That’s why we have different versions of MultiTAS that offer different levels of functionality and integration.

Direct Debits

DIRECT DEBIT MANAGEMENT

This module makes the process of collecting funds via TASBooks quicker and simpler. Our module offers you the flexibility to setup and maintain the entire payment and posting process from within TASBooks in a few short steps. Convenient for you, and convenient for your customers.

Retrieval
Retrieve a list of outstanding invoices and relevant customer details, ie., contact information, bank details, etc. from TASBooks

You can filter according to:
- Customers that are flagged as paying by Direct Debit; or
- Customers that have the TASBooks Customer Inactive Flag set to No
You can also filter according to those invoices that are outstanding within a specific range of dates.
Export
You can export the relevant data to a CSV file that you can upload to the BACS Direct Debit software of your choice. Our CSV files are compatible with all majors BACS software applications, including WinBacs and Bottomline.

You can filter the export process to include only those invoices that have the Direct Debit Process Flag set to Y.
Batch Post
You can post sales ledger receipt transactions to TASBooks in batches and allocate them to specific invoices automatically.

Sales-to-Purchase Ordering

SALES-TO-PURCHASE ORDERING

This simple but extremely useful add-on was developed specifically to streamline your sales-to-purchase ordering processes. Using our system, you can automatically create Purchase Orders based upon a specific Sales Order. This process simulates TAS (711).

Purchase Orders can be created based upon either Sales Order quantities or Sales Order Back Order quantities.

Any Purchase Order can then be amended or edited before processing.

MultiTAS Manufacture

MULTITAS MANUFACTURE

This add-on is built for those businesses that need complete control of their manufacturing and production processes within TASBooks. It integrates seamlessly with TASBooks’ native stock controls and the Nominal Ledger and lets users:

Handle simple or complex multi-level assembles (sub-assemblies);
Allocate unlimited items per assembly;
Vary the costing type or the quantity of items to see the immediate effect on assembly costs and weights;
Generate accurate costings based upon specific quantities using up to 6 decimal places;
Create, edit and delete Works’ Orders (WOs) for each assembly;
Set production start and completion dates;
Enter Work in Progress (WiP) percentages for given dates and tasks;
Link WOs to existing Sales Orders; and
Process records for all assemblies (including sub-assemblies). Users can create and edit texts to accompany Works’ Instructions that can be used for assembly preparation or for Health & Safety procedures.

FUNCTIONS

Maintain Assembly
This function lets you create or amend a Bill of Materials (BoM) assembly or sub-assembly. You can have an unlimited number of items per assembly. Changes you make to the structure are reflected immediately in both the line totals and overall for costs and weights. You can also switch between standard, last and average cost types to check results.
Maintain Works Orders (564)
This function lets you create, edit and delete WOs. These are required to build assemblies. You can set a Planned Production Date for each WO, so that product stock requirements can be calculated and shortages identified in advance.
Works Order Schedule (574)
This function allows you to see, at a glance, what WOs are due to be completed that day. The report uses the Planned Completion Date.

Orders to be shipped on the dates in the grid are denoted by a cell it contains the Works Order Number and the Assembly Code of that order. You can drill down to the order to view and/or update the Order as necessary by clicking the cell.
Product Requirements Report (576)
Stock availability reporting is a key element of Materials Requirement Planning (MRP). This function offers users a comprehensive solution that factors multiple variables into its reports.

The volume of different products on your Sales Orders, Works Orders and Purchase Orders will determine how quickly the report appears.

Any shortfalls are shown for the end of each period and take into account any outstanding Sales Orders, Works Orders and Purchase Orders where the expected dates fall within a period which is before the selected start date for the period.
Product Requirements by Sales Order (577)

This report lists the stock items (materials and components), assemblies and sub-assemblies that are required on a weekly or monthly basis for up to 12 weeks/months in advance, based upon existing outstanding SOs. It also details quantities in stock, on SOs, on POs and on WOs. This lets you see any total stock requirements for entered WOs with Planned Production Dates within a given period and highlights any potential shortfalls.
Product Requirements by Works Order (578)
This report lists the stock items (materials and components), assemblies and sub-assemblies that are required on a weekly or monthly basis for up to 12 weeks/months in advance, based upon existing outstanding SOs. It also details quantities in stock, on SOs, on POs and on WOs. Multiple Trial Kits (579)
This report produces a Multiple Trial Kits list of any stock shortages and/or surpluses based upon multiple selected WOs. This is a “What If” report and lets you foresee any stock-related production issues ahead of time. You can generate these reports by Product or by Supplier.
Work in Progress (57A)
This gives you a valuation of your Work in Progress (WiP). By selecting different filters and WOs, you can adjust the report data to suit your business model at any given moment in time.

The WiP selection form is initially populated with incomplete WOs. Simply select the WOs that you want to process by clicking on the check box.
Component Cross-Reference (57B)
This report lets you select one or more specific components, materials or sub-assemblies and list all of the Assemblies and Processes in which it/they is/are used. The report also shows the quantities used in each case. A simple tool for checking where items are used if, for example, you want to substitute it with another product.
Build Inquiry
This report checks the individual components to see if you have enough to make up a quantity of an assembly and generates a list of stock shortfalls.
Maintain Assembly Versions
You can create different versions of an existing assembly. This enables you to have multiple assemblies with alternative products or even different quantities. You can then choose what version to use when creating a WO.

MultiTAS Stock Locations

MULTITAS STOCK LOCATIONS

This is an optional module for customers that require multi-stock location features. It lets you create and manage any location in which stock is held. These locations can be:

Depots;
Holding Areas;
Locations within Warehouses (Bonded, On-Consignment, Physical or Virtual);
Quarantine;
Returned Goods Areas;
Ships;
Vans; and
Warehouses (Bonded, On-Consignment, Physical or Virtual)

You can assign a Sales Order (SO) to a specific location. This means that order will be fulfilled using stock from designated location. Users can also transfer stock between locations and run any stock adjustments or stock takes for a specific stock location.

Maintain Warehouses (514)
This function lets you create and maintain multiple warehouses, including Bonded and Virtual, and any other locations where stock is held. This includes depots, goods in transit and quarantine areas.
Stock Adjustments (521)
This function lets you enter stock adjustments manually and assign them to specific stock locations.

You can choose from the following types of stock adjustments:
1. Adjustment: Most commonly used for standard adjustments;
2. Stock Take: Used for recording the results of a stock-take, e.g. End of Year;
3. Opening Balance: Used for entering initial balances into the system; or
4. Inter-Warehouse Transfers: Used for transferring stock between locations
You can enter a stock adjustment by:
1. Adjustment: The quantities represent the amount (+/-) to be adjusted by; or
2. Actual: The quantities represent the actual Quantity in Stock (Qty) and TASBooks calculates the necessary adjustments
Sales Order Entry (611)
This function allows you to assign a specific stock locations to a Sales Order.
Maintain Products (511)
This function allows you to view and maintain product data in the Warehouse Product records.

The greyed out columns are automatically maintained by the system. You can edit other fields, such as the Min Qty value (the minimum in-stock quantity before re-ordering to replenish) and the Order Qty value (the minimum quantity to purchase when (re)ordering).
Manufacture Works Orders (564)
This function allows you to assign a specific stock location for a Works’ Order.

MultiTAS Price Lists

MULTITAS PRICE LISTS

With MultiTAS Price Lists you can create, revise, use and delete multiple price lists for use across multiple assemblies and locations. Our add-on lets users assign specific prices and taxes to items based upon location, resources and shipping.

MultiTAS Price Lists lets users create:

Unlimited Price Lists;
Customer Specific Pricing;
Foreign Currency Lists based upon real-time exchange rates; and
Special Offer Prices with start and end dates.

MultiTAS Sales Order Entry

MULTITAS SALES ORDER ENTRY

With the MultiTAS Sales Order Entry add-on, users and businesses can generate, revise and delete Sales Orders (SOs) from a single interface.

MultiTAS Sales Order Entry Screen (611)
Users canÂ create and update TAS Sales Orders (SOs) with additional features accessed via an ergonomic layout. Additional features include:
- Enter up to 9,999 lines within a body (instead of TASâ€™ 100-line limit);
- Extended product descriptions of up to 500 characters long (instead of TAS 40-character limit);
- Product Notes: You can add anÂ unlimited number of comments and notesÂ to each Product;
- Select products by scanning barcodes; and
- Generate multi-currency quotes, proformas, sales orders, invoices and credit notes.
MultiTAS Sales Order Entry Defaults (061)
You can customise the Sales Order Entry Screen (611) to meet your individual requirements. Our add-on gives users access to an extensive number of defaults and settings that can be changed easily and quickly.

Defaults that can be changed include:
- Delivery charges;
- Customer details, including delivery and invoicing;
- Shipping date; and
- Taxes.

MultiTAS Stock Features

MULTITAS STOCK FEATURES

Using our MultiTAS Stock add-on, users can manage their entire inventory from an intuitive interface. Products can be created, revised or deleted from TASBooks and changes can be made to item metadata. This means that users can see current stock levels, pricing, the location(s) of items and descriptions – all from a single screen.

Maintain Product (211) with Advanced Product View
Product details from TASBooks are displayed in an Excel-like grid thatÂ can be customised to show as much – or as little – data as you need.Â Any changes you need to make can be actioned directly clicking the relevant box, field or drop-down menu. When you save your changes it adjusts and updates all records that may be connected to it.
Show/Hide Customisation
You can decide how much – or how little – you want to see. Select which categories, fields and information you want on display in the Advance Products View.
Extended Product Descriptions
TASBooks limits descriptions to 4o characters. With MultiTAS Stock Features, you can enter up to 500 characters for any items or products.
Product Notes
You can add an unlimited number of comments and notes to eachÂ item or product. All of your notes can accessed easily and quickly from the Product Screen and guarantees that all users have access to the same information.

This function lets you enter stock adjustments manually and assign them to specific stock locations.

MultiTAS Multi-Currency

MULTITAS MULTI-CURRENCY

For the first time, TASBooks can generate quotes, proformas, purchase orders, sales orders, invoices and credit notes in multiple currencies. Drawing data from TAS Foreign Currency Rates you can now localise your accounting, billing and pricing in over 150 currencies.

Create & Maintain Multi-Currency Price Lists (612)
Our add-on lets users create as many multi-currency price lists as they need. Price lists can be inclusive or exclusive tax, including VAT and US Federal and State taxes, and can be categorised according to Retail, Trade, Wholesale or Custom.

With out price lists, users can create, revise, update and delete prices for discounts and offers and schedule them to expire on a given date.
Maintain Customer (211)
You can assign default multi-currency price lists and currency codes to your customers. By selecting defaultÂ Primary, Secondary and Tertiary Price Lists and be entering a currency code in (611), all billing and financial correspondence will default to the local setting.
Multi-Currency Documents (611)
You can generate multi-currency quotes, proformas, sales orders, invoices and credit notes within TASBooks. Our add-on willÂ default to the currency of the assignedÂ Price List or, if no list is specified, it will default to the customerâ€™s assigned currency code.

As of MultiTAS v6.2, you can also generate multi-currency purchase orders within TASBooks. Our add-on will default to the currency of the assigned Price List or, if no list is specified, it will default to the supplierâ€™s assigned currency code.

You can select from the 150+ currencies held in TAS Foreign Currency Rates. The Exchange Rate is shown to the right and you can edit it manually.

MultiTAS Auto-Allocation

MULTITAS AUTO-ALLOCATE

With MultiTAS Auto-Allocate, TASBooks can automate a range of functions to help users save time. Our add-on can allocate and reconcile payments and receipts against outstanding invoices automatically.

Auto-Allocation can according to filters, such as age or amount, or by import.

MultiTAS Auto-Allocation (285)
This function lets usersÂ automate the allocation of Sales Ledger payments and/or credits against Sales Ledger invoices and/or debits rather than doing it manually using TAS (251). It is useful if you use the “Import Transactions” function to import large numbers of sales invoices andÂ receipt and/or credit journals.

If you do not wish to use auto-allocation on aÂ particular customersâ€™ transactions, you can ‘flag’ the Customer as “Ignore”.

You can change any of theÂ default “Allocate Match Options” that have previously been selected.

Options:
- Match Exact (Oldest First):Â If you check this box, the oldest invoice (determined by the oldest invoice date) with an exact match to the payment and/or credit will have that ‘payment’ allocated to it. For example, if a customerâ€™s outstanding payment has a remaining balance of Â£117.50 and there are three outstanding invoices, the oldest having a remaining balance of Â£59.00 and the mostÂ recent both with a remaining balance of Â£117.50, the payment is allocated to the older of the two with the Â£117.50 balance; and
- Oldest Outstanding Item(s): If you tick this box, the payment allocation will start with the oldest outstanding invoice item and work through towards the newest outstanding item until the full amount of the payment has been allocated. This assumes that there are enough invoices against which to allocate the payment. When allocation of the payment has been completed (theÂ remaining balance is Â£0.00), the routine moves onto the next outstanding payment record and evaluates and/or allocates it in the same manner. This process continues until either no payments for Auto-Allocation are left on the system for the customer concerned or no suitable outstanding invoices are left.
When you select the Oldest Outstanding Item(s) option, a drop-down list and value field become available. The drop-down listÂ lets you include and/or exclude customers depending upon their Credit Limit values. The options are:
- Include All Customers;
- Exclude Customers with Credit Limit Greater than Â£x;
- Exclude Customers with Credit Limit Less than Â£x;
- Include Customers with Credit Limit Greater than Â£x; and
- Include Customers with Credit Limit Less than Â£x
You can also tick both “Match Exact” and “Oldest Outstanding Item(s)”. In this case, the program tries to find an exact match first, but if not found it checks all of the items to find the oldest outstanding.
MultiTAS Import Allocations (286)
This function lets usersÂ automate the allocation of Sales Ledger payments and/or credits against Sales Ledger invoices and/or debits as if you had done it manually using TAS (251). It differs from the previous optionÂ by importing the allocations from a file. This is particularly useful if you need precise allocations in TAS. An example of this requirement would be for regular monthly invoices and/or payments.

EDI Trading

EDIÂ TRADING

EDI is looked on as the standard for the electronic transfer of documents from one company to another. Most commonly these documents are Purchase Orders (POs) and Sales Orders (SOs). The transfer is normally a sequence of electronic messages.

EDI is used in most major industries such as:

Aerospace;
Automotive;
CPG;
Finance; and
Retail.

MultiTAS was designed to integrate tightly with Freeway Spectrum (now OpenText Freeway) though other EDI solutions have been used successfully.

After setup, MultiTAS allows you to:

Import your Sales Orders (SOs) from your EDI software into TASBooks;
Export the related Invoice information so you can transfer it to your EDI software; and
Handle Delivery Note Numbers, Proof of Delivery, Advanced Shipping Notes.

Mapping functions in MultiTAS lets users:

Map the customer code in TASBooks to the equivalent record in your EDI software;
Match TAS Delivery Addresses to Customers’ locations; and
Map your TAS product codes to your Trading Partners product codes.
